Security & AI

You trust us with your clients' information, and we treat that seriously. Here is, in plain English, how it is protected and how the AI features work with it. For the legal detail, see our Privacy Policy.
Your clients' information is yours
We never sell your information or your clients' information, and we don't use it to train AI models. We handle it under the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
Where it is stored
Your information is stored on secure, access-controlled servers in Australia and the United States, and is encrypted in transit and at rest.
How AI helps you
The AI features are there to give you your time back: Sage answers practice questions, drafts documents, engagement letters and proposals, reads receipts, tidies meeting notes and summarises Xero health checks in seconds, work that used to take hours. AI only runs when you use one of these features, and you review every draft before it goes anywhere near a client.
What the AI sees
Only what a feature needs to do its job. For example, drafting an engagement letter uses the client's name and contact details so the letter is filled in properly, and reading a receipt uses the receipt image. These requests are processed by Anthropic, the maker of the Claude AI models, a leading AI provider. We do not send passwords or payment card details to AI. Email Triage and the Mailbox do not use AI at all.
Anthropic's commercial terms say that information sent through its API is not used to train its models, and is kept only for a limited period for safety and legal reasons.
You are in control
Every AI feature is optional, and the rest of Bookkeeper Dashboard (clients, tasks, time, signing, Email Triage and more) works without them. If you would rather not include a client's name when you chat with Sage, you can leave it out and still get a useful answer. You can also choose how long we keep your Sage, Paige and Help chat history, under Settings, and older messages are then deleted automatically.
Keeping your account secure
- Your own private login, with optional two-factor authentication in Settings.
- Team access levels, so a team member only sees what their role needs.
- Each practice can only see its own data.
- Connections to Xero, QuickBooks and Google are authorised by you and stored encrypted, and you can disconnect them at any time.
Telling your own clients
Many practices mention in their engagement letter that they use secure cloud software and AI-assisted tools. Doing so is a good habit, and our engagement letter template can be edited to say it.
